Requirements:
- Experience in event planning and coordination, with a strong understanding of technology-related events
- Should be able to coordinate with publication houses for press releases/articles etc., should be able to conduct webinars / double up as a master of ceremonies (MC) for events
Responsibilities:
- Plan, coordinate, organize and execute a wide range of events, including conferences, seminars, webinars, roadshows, internal & external events
- Serve as the master of ceremonies (MC) for events, including introducing speakers, facilitating panel discussions, and engaging with the audience to ensure a lively and interactive atmosphere
- Develop event timelines, budgets, and schedules, and ensure all deadlines are met
- Collaborate with cross-functional teams including marketing, sales, leadership
- Coordinate with internal teams, external vendors, and partners to ensure seamless execution of events
- Manage event logistics, including venue selection, catering, audiovisual equipment, signage, transportation, and coordinate for participation in external industry events
- Create and distribute event marketing materials, including invitations, promotional emails, social media posts, and website content.
- Coordinate with speakers, presenters, and sponsors to ensure all logistical and technical requirements are met.
- Provide on-site support during events, including overseeing set-up, registration, attendee management, and troubleshooting any issues that may arise.
- Conduct post-event evaluations to gather feedback and identify areas for improvement.
- Maintain accurate records of event expenses, invoices, and attendance data.
- Stay updated on industry trends and best practices in event planning and technology.
Qualifications:
- Bachelor’s degree in marketing, communications, hospitality management, or related field
- Minimum of four years of experience in event planning and coordination, preferably in the IT industry
- Willingness to travel and be present during various events
- Strong project management skills, with the ability to multitask and prioritize competing deadlines
- Excellent communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders
- Detail-oriented, with strong organizational and problem-solving abilities
- Proficiency in Microsoft Office Suite, event management software, and online collaboration tools
- Ability to work independently and as part of a team in a fast-paced, deadline-driven environment
- Flexibility to work evenings and weekends as required during event periods
- Knowledge of technology trends and terminology preferred
- Certification in event planning or project management is a plus
